1. About This Policy

Mount Annan Netball Club (“MANC”, “we”, “us”) is committed to protecting your personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). This policy explains how we collect, use, store, and disclose your personal information through the MANC Umpire Central application.

MANC is a not-for-profit organisation. We recognise the importance of protecting personal information, particularly information relating to children and young people.

2. Information We Collect

We collect the following types of personal information:

  • Identity: Full name, date of birth, profile photo
  • Contact: Email address, phone number
  • Umpiring: Badge/experience level, certifications, availability preferences, game history
  • Financial: Bank account details (BSB, account number, account name) for payment processing
  • Location: GPS coordinates during game check-in/check-out
  • Guardian details: For umpires under 16 — guardian name, relationship, and email

3. Why We Collect It

We collect personal information for these purposes:

  • Scheduling umpires to appropriate games based on experience level and availability
  • Processing umpire payments after games
  • Verifying umpire attendance via GPS check-in at venues
  • Tracking umpire certifications and badge progression
  • Communicating schedule changes, rule updates, and notifications
  • Ensuring under-16 umpires have appropriate mentor support
  • Obtaining guardian consent for minor umpires

4. How We Store and Protect It

  • Data is stored on Supabase infrastructure in Sydney, Australia (AWS ap-southeast-2)
  • Bank account details are encrypted using AES-256-GCM before storage — they cannot be read even if the database is accessed
  • The application uses HTTPS for all data transmission
  • Access to personal data is controlled by role-based security (admins only for sensitive data)
  • GPS check-in data is automatically purged after 90 days

5. Cross-Border Disclosure

Email notifications are sent via Resend, a US-based email service provider. This means your email address and name are processed by servers in the United States when sending notifications. No other personal data is transferred overseas.

6. Children’s Information

We recognise that some umpires are under 16 years of age. For these users:

  • A parent or guardian must provide consent before the account is activated
  • Guardian name, relationship, and email are recorded
  • Umpires under 16 cannot upload a profile photo
  • We collect only the minimum information necessary for scheduling and safety

7. Your Rights

You have the right to:

  • Access your personal information via the Settings page in the app
  • Correct inaccurate information via the Settings page or by contacting an administrator
  • Delete your account and personal data by requesting account deletion in Settings
  • Withdraw consent at any time by contacting an administrator

8. Data Retention

  • GPS check-in data: automatically deleted after 90 days
  • Game history: retained for the duration of your membership
  • Account data: retained until you request deletion
  • Deleted accounts: personal data is anonymised within 30 days

9. Complaints

If you believe your privacy has been breached, or you have concerns about how we handle your personal information, please contact the MANC committee. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
